Job Summary:

We are seeking a highly experienced and dependable Administrative Assistant to support day-to-day business functions, vendor management, and internal coordination. The ideal candidate will be highly organized, proactive, and capable of working independently with minimal supervision in a fast-paced environment. This role requires strong communication skills, attention to detail, and the ability to manage multiple tasks efficiently while ensuring deadlines and commitments are consistently met.

Key Responsibilities:
    • Manage daily operational and administrative activities across departments
    • Track tasks, deadlines, and ongoing projects, ensuring timely completion
    • Follow up on pending matters and provide reminders to relevant stakeholders
    • Coordinate internal workflows and ensure smooth communication between teams
    • Liaise with external vendors, suppliers, and service providers
    • Negotiate contracts and secure favorable terms for the company
    • Maintain accurate records, reports, and documentation
    • Support management with coordination, scheduling, and operational planning
    • Ensure compliance with internal procedures and operational standards
    • Identify process improvements to increase efficiency and productivity
Requirements:
    • Minimum 8 years of experience in a similar operations/coordination role
    • Proven ability to work independently with minimal supervision
    • Strong organizational and multitasking skills
    • Excellent communication skills with strong English proficiency (written and spoken)
    • Highly detail-oriented, reliable, and structured in approach
    • Fast learner with the ability to adapt quickly to new tasks and systems
    • Ability to work effectively under pressure and meet strict deadlines
    • Strong experience in vendor management and negotiation
    • Demonstrated ability to track tasks and follow up consistently
    • Solid administrative and coordination background
