Job Summary:

The Manager – Project Document Control is responsible for leading the strategic direction, governance, and performance of document control functions across all projects. This role ensures the effective implementation and optimization of the Document Management System (DMS), guarantees compliance with regulatory and ISO standards, and enhances operational efficiency through structured document governance and reporting.

Key Responsibilities:
    • Develop and implement document control strategies, policies, and procedures aligned with organizational objectives.
    • Oversee the setup, maintenance, and optimization of the Document Management System (DMS/EDMS).
    • Ensure seamless integration of the DMS with other enterprise systems.
    • Provide leadership, direction, and performance oversight to the Document Control team.
    • Drive continuous improvement initiatives to enhance document workflows and system efficiency.
    • Ensure all project documentation complies with company policies, contractual obligations, and industry standards (e.g., ISO 9001).
    • Conduct regular audits of document records to verify accuracy, traceability, and compliance.
    • Support internal and external audits by preparing documentation and compliance reports.
    • Implement corrective and preventive actions to address audit findings.
    • Maintain strict version control and audit trails across all projects.
    • Lead, mentor, and develop the Document Control team to achieve high performance standards.
    • Conduct performance evaluations and provide structured feedback.
    • Identify skill gaps and organize relevant training programs and workshops.
    • Promote a collaborative, accountable, and inclusive work culture.
    • Provide training and ongoing support to project teams and end-users on DMS usage.
    • Develop user manuals, guidelines, and training materials.
    • Monitor user adoption and address challenges affecting system utilization.
    • Serve as the primary point of contact for document-related matters for senior management and project stakeholders.
    • Generate regular reports on document compliance, usage metrics, and system performance.
    • Analyze trends and provide actionable insights to management.
    • Support decision-making by delivering accurate documentation performance data.
    • Recommend system and process enhancements based on analytical findings.

Requirements:
    • 10–12 years of experience in document control or related functions within construction or engineering environments.
    • Proven experience managing DMS or EDMS platforms.
    • Strong understanding of document control governance and compliance standards (e.g., ISO 9001).
    • Demonstrated leadership experience in managing teams in fast-paced project environments.
    • Knowledge of data security, information governance, and document protection best practices.
