Job Summary:
Provide administrative, clerical, and translation support to ensure smooth operations of the Dubai office. The Administrative Assistant will act as a liaison between the Japan head office and the UAE team, maintaining efficient communication, documentation, and coordination in both Japanese and English.
Key Responsibilities:
- Administrative & Office Support
- Manage daily office operations, including correspondence, scheduling, filing, and supplies management.
- Prepare and translate business documents, reports, and communications (Japanese ↔ English).
- Handle travel arrangements, hotel bookings, visa processing, and meeting coordination.
- Support management with calendar management and appointment scheduling.
- Maintain office records and ensure all documentation is up to date and organized.
- Communication & Coordination
- Serve as the main point of contact for communication between the Dubai office and the Japan headquarters.
- Draft and translate internal/external emails, letters, and meeting minutes.
- Coordinate with vendors, service providers, and government agencies as required.
- Assist in organizing corporate events, meetings, and client visits.
Requirements:
- Bachelor’s degree in Business Administration, Management, or related field.
- 2–5 years of relevant experience as an Administrative Assistant, preferably in an international or Japanese organization.
- Languages: Native-level Japanese and fluent English (spoken and written).
