Key Responsibilities:

  • Manage office supplies and ensure that stock levels are consistently maintained.
  • Organize and maintain both physical and electronic office filing systems.
  • Handle general office correspondence, including emails, phone calls, and mail.
  • Assist in organizing office events, meetings, and conferences.
  • Coordinate appointments, meetings, and events for staff and management.
  • Maintain calendars and ensure schedules are updated and well-organized.
  • Coordinate travel arrangements, including booking flights and accommodations.
  • Prepare and format reports, presentations, and other documents as required.
  • Enter and update data into databases and management systems.
  • Draft and proofread official communications and documents for accuracy and clarity.
  • Serve as the point of contact for visitors, clients, and vendors.
  • Handle inquiries and provide timely responses, ensuring professional communication at all times.
  • Liaise with other departments to ensure smooth and efficient office operations.
  • Assist managers with various administrative tasks, such as report preparation, filing, and research.
  • Provide administrative support for project coordination and special projects.
  • Ensure the office environment remains clean, organized, and safe.
  • Work with facilities management or vendors to resolve any office maintenance or equipment issues.
  • Ensure that records are stored and maintained in compliance with company policies and legal requirements.
  • Assist with organizing and tracking documentation for audits or compliance checks.
